1. Who we are
QuotePilot (“QuotePilot,” “we,” “us,” or “our”) provides an AI-assisted quote-drafting tool for contractors. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
2. Information we collect
- Account details. Your name and email address, collected through our authentication provider when you sign up or sign in.
- Business data. The quotes, leads, and customer records you create and store in the app.
- Founder signups. If you join the founder waitlist or claim a founder spot, we collect the email address you provide.
- Usage information. Basic technical and usage data — such as pages visited, actions taken, device and browser type — collected to operate, secure, and improve the service.
3. How we use your information
- to provide and operate the service and your account;
- to generate, store, and deliver your draft quotes and follow-up messages;
- to process payments and manage your subscription;
- to communicate with you about your account, billing, and service updates;
- to maintain security and prevent abuse; and
- to understand usage and improve the product.
4. Third-party services
We rely on trusted third-party providers to run QuotePilot. Each processes only the data needed for its function, under its own terms and privacy practices:
- Clerk — account authentication and login.
- Supabase — database storage for your quotes, leads, and customer records.
- Stripe — subscription billing and payment processing.
- Twilio — SMS message delivery.
- Resend — email delivery.
- xAI — AI generation of draft quotes and messages.
- Vercel — application hosting and delivery.
We do not sell your personal information.
5. Data storage and security
Your data is stored with our database and hosting providers listed above. We use reasonable administrative, technical, and organizational measures to protect it, including encryption in transit and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
6. Your customers’ information
When you enter information about your own customers (such as their name, contact details, or job notes), you are the controller of that information and QuotePilot processes it on your behalf. You are responsible for having a lawful basis to collect and use it, and for honoring your customers’ privacy rights. We process it only to provide the service to you.
7. Cookies
We use a small number of cookies and similar technologies that are necessary to run the service — primarily to keep you signed in (authentication) and to maintain your demo session. We do not use them to build advertising profiles.
8. Data retention
We keep your information for as long as your account is active and as needed to provide the service. After you close your account, we delete or anonymize your data within a reasonable period, except where we must keep certain records to comply with legal, tax, or accounting obligations.
9. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information. To make a request, email us at willmakegrilledcheese@gmail.com and we will respond within a reasonable time.
10. Children
QuotePilot is a business tool intended for adults. It is not directed to anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you.
